As a self-funded startup, WorksHub had to keep to a tight budget in its early years, and it relied on its talent managers to do a lot of the heavy lifting when it came to attracting and nurturing candidates. However, by 2016, it was ready to invest in a more automated solution, and it signed up for the HubSpot Growth Stack. Today, its sales team are dealing with 4X more leads, and it has decreased its candidate acquisition costs by 24%. Seeking a Better Way to Nurture Leads

WorksHub has established itself as a hub for some of the world’s most cutting edge technologies. As well as matching software engineers with their ideal roles, it also offers technical learning resources, news, blog posts and salary information. The company has come a long way since its bootstrap startup beginnings. Back then, every pound it spent was very much scrutinised, explains Bogdan Manea, marketing manager at WorksHub.

“We relied on our talent managers to do a lot of the heavy lifting when it came to finding and nurturing leads. We didn’t have any automated processes, which meant that we weren’t being as efficient as we wanted to be.”

Another major bugbear for the company was that it didn’t have a full view on the candidate’s journey. Google Analytics gave it some limited information about where candidates were coming from, but it couldn’t track what they were doing on its website or how they were responding to its outreach.

“Our CTO recommended we look at HubSpot, and we tested the waters with its free CRM, as the system we were using wasn’t fit for purpose. We were really impressed by it, and we realised that it would be even more valuable if we paired it with HubSpot’s other software.”

In mid-2016, WorksHub signed up for the HubSpot Growth Stack, which is the combination of HubSpot Marketing Hub, CRM and Sales Hub.

“It had all the automation and analytical capabilities that we were looking for, and we knew that it would allow us to take our lead management to the next level.”

Introducing Automation and Analytics

WorksHub collects two main types of leads: candidates for jobs and the client companies that are looking to hire them. One of Bogdan’s favourite features of HubSpot Marketing Hub is Workflows, which allow the company to give every contact in their database the attention they deserve. It has created over 400 Workflows, many with branching logic, which means that each lead gets a truly personalised experience.

“We’ve been amazed by much we can automate and filter – it’s been a real time saver for us. We’ve been able to get granular with the communications we send out; we’re getting to know our leads in a way that simply wasn’t possible before.”

Once a lead becomes marketing qualified, WorksHub creates a deal pipeline for them in HubSpot CRM.

"That allows us to make sure that no-one slips through the cracks and that we keep our momentum going. 
We can also assign each deal a value, which is great for predicting revenue.”

The company’s talent managers then continue the nurturing process. With a candidate lead, this involves taking them from their initial application through to an interview with a client company and finally a job offer.

“The tools available in HubSpot Sales Hub are proving useful for that. They are notified whenever a candidate is on our site or if they have opened one of our emails so that they can reach out at just the right time,” says Bogdan.

WorksHub also uses HubSpot analytics to gain a deeper understanding of what’s working and what isn’t.

“Quarterly reports are a lot easier to produce now! We can easily quantify our key metrics, such as the number of candidates who secured an interview or who were offered a position. As well as that, we can determine which communications and content bring in the highest quality leads. That helps us to refine our work and make data-driven decisions.”

Saving Time and Reducing Costs

Since it started using the HubSpot Growth Stack, WorksHub has seen a massive boost to its productivity.

“We probably have 16 talent managers doing the work of 200 traditional recruiters, and I’m not exaggerating here! They are dealing with 4X more leads than they were before, and we’ve reduced time-to-hire for candidates by 30%. The Growth Stack’s automation features have been a huge help. For example, we’re automatically publishing our social media posts and monitoring our mentions with the Social Inbox – we spend 10X less time on that now,” says Bogdan.

This improved efficiency has also had a knock-on effect on candidate acquisition costs, which have decreased by 24%.WorksHub plans to continue its partnership with HubSpot long into the future.

“It has been a great decision for us, and the HubSpot team helped us every step of the way. With other software, you can hit a wall once you start attempting to do more complex things; that doesn’t happen with the HubSpot Growth Stack.”
