Data Hub Use Cases

Use data studio to create datasets that power revenue reports -- without needing to sync all your revenue data to HubSpot CRM records. 

Steps

1. Create an external data source to pull data from your revenue system into data studio. Data studio connects  with common systems like Stripe, NetSuite, and QuickBooks.
2. Create a dataset starting with contacts data and add the revenue data as a secondary source.
3. Add the calculations you will need in your report, such as customer lifetime value or overdue invoices. You can create the formulas yourself or ask AI to help.
4. Save the dataset and choose Use in > Report.

Combine behavioral data from multiple sources with CRM data for more precise targeting. For example, use in-person event registrations stored in Airtable to produce a targeted segment of only contacts who have attended at least one event.

Steps

1. Create an external data source for each source of engagement data, such as the Airtable table.
2. Create a dataset starting with contacts data and then add all of the secondary sources.
3. Add columns to your dataset summarizing the signals, such as count of events attended.
4. Apply filters to reduce the list to only engaged contacts.
5. Save the dataset and choose Use in > Segment to create a segment.

Use data studio to build custom automation without needing to manage integrations, spreadsheets, or CRM properties. For example, create a personalized email campaign based on product usage data stored in Snowflake.

Steps

1. Create an external data source for the Snowflake table where usage data is aggregated by customer email address.
2. Create a dataset starting with contacts data and add the Snowflake data as a secondary source.
3. Add any columns from Snowflake or formulas you will want to use in your workflow. For example, you might categorize users by "High", "Medium" or "Low" usage of your product.
4. Save the dataset and choose Use in > Workflow to start building out your workflow. Inside workflows, columns from the workflow can be accessed from within workflow actions or branches.

Use data studio to connect and combine data from any source that integrates with Google Sheets. For example, if you use an app that has a Google Sheets integration but doesn't have a HubSpot integration, you can use data studio to connect the data. When the sheet updates, data studio will automatically update with the refreshed data.

Steps

1. Create an external data source for the Google sheet.
2. Create a dataset and select your sheet.
3. Select columns to include.
4. Save the dataset and choose Sync to CRM.
5. Select whether you want to sync the data once or on a scheduled basis, then map columns from the dataset to CRM objects to finish creating the sync.

Use subscription data to inform sales teams of upsell or cross-sell opportunities, provide a 360-degree view to success teams, and help marketing teams create nurture campaigns.

Steps

1. Create an external data source for Recurly.
2. Create a dataset starting with company data.
3. Add subscription data as a secondary source.
4. Select columns to include.
5. Save the dataset and choose Sync to CRM.
6. Map your dataset data to a custom object (for example, product subscriptions). Once the sync processes, this data will be available throughout HubSpot.

Connect your external data sources (apps or sheets) to data studio and combine with HubSpot contacts and deals to create a dataset. Use formula builder to transform dataset fields before activating the dataset in reporting or sync these transformed fields to CRM.

With this code snippet, you can create a workflow that automatically syncs newly created contact from your central portal to another in one direction. That way your source of truth stays intact, while your team's data is always up to date.

If you're looking to optimize and automate the lead assignment for a sales team that covers many territories, then this code snippet might help. Firstly, build a HubDB table and use it to store your territory management logic (e.g. postal code X is covered by owner Y). Then create a custom code action and paste the code snippet. For any newly created lead, it will take the postal code as input, and reference the HubDB table to assign it with the right owner.

Note: this code action will only associate the first 500 deals because it doesn't paginate the API response of all known deals associated with the contact.

When a deal is marked closed-won or lost, there likely are still some unresolved tasks that need to be completed manually. HubSpot can already automatically generate tasks when a deal is opened, and with this code snippet, it can automatically complete tasks when a deal is closed.

Having standardized phone numbers in your CRM can be a real must for your customer-facing team members. But not only will the increased readability improve the efficiency of your teams, it'll also improve the operations of your systems. Data inconsistencies can create duplicates, break integrations or hamper reporting. With this custom code action, you can make sure that any 10-digit U.S. phone number is properly formatted as (XXX) XXX-XXXX, making your phone number easily readable and dependable.

As opposed to having an evenly distributed lead assignment among your sales team members, you can use this code action to assign your leads in a weighted fashion.
