As demand for their products accelerated, the team responsible for connecting those practices with the right solutions was running up against the limits of the old way of doing things.
The Challenge
When the Window Closes on a Dental Practice
For a dental office evaluating new software, timing is everything. A practice manager researching patient engagement solutions today can easily move on to a competitor tomorrow. Every day a dental team spends managing missed appointments, unanswered patient calls, or fragmented communication is a day their patients feel that friction, inching closer to looking elsewhere.
RevenueWell had built its reputation on helping dental practices respond faster and communicate better. Reaching those same practices at the exact moment they were ready to buy was a different challenge entirely.
The Limits of Manual Outreach
Jennifer Craig, Senior Growth Systems Manager at RevenueWell, oversaw the systems powering sales outreach. Starting with Signals, Then Building the System
RevenueWell's rollout began in October 2025 with Buyer Intent. The system identified dental companies actively researching topics aligned with RevenueWell's products. From Pilot to Full Playbook
Within weeks, RevenueWell replaced all product-specific MQL sequences with Prospecting Agent Plays. Jennifer created two mirrored categories, one for outbound prospecting driven by intent and website signals and another for contacts who had submitted demo requests but had yet to book, keeping reporting clean and each motion measurable.

The Numbers Behind the Shift
Comparing MQL sequences from February 2025 to Prospecting Agent results in February 2026: meeting booking rates climbed from 8% to 20%, opportunity creation jumped from 9% to 65%, and closed-won rates rose from 4% to 62%.
Zooming out to the full year-over-year comparison across all product-specific sequences versus Prospecting Agent Plays: meeting rates rose from 11% to 42.9%, deal rates from 10% to 16.8%, email open rates from 35.5% to 54.2%, and click rates from 5.2% to 13.2%.
The operational shift was just as real. Reps moved from editing emails to running conversations, SDRs worked from a prioritized stream of intent-driven prospects, and outreach expanded into corners of the dental market the team had previously left untouched.
